In the CypherWorx LMS, we award certificates of completion to students who complete their courses. This article outlines the policies in place to view and access certificates of completion.
CypherWorx does not fulfill written requests sent in the mail to provide certificates of completion to incarcerated students. Please follow one of the options listed below to receive your certificates. You may also contact us to speak with a CypherWorx representative to assist.
Incarcerated Students
We offer a tool tailored specifically for incarcerated individuals to share their certificates of completion. This solution aims to address the challenges faced by incarcerated individuals in obtaining physical copies of their certificates. With this tool, individuals can securely send their certificates to family members, friends, attorneys, and other relevant parties via email.
We understand the importance of having access to these documents, especially when navigating legal proceedings or preparing themselves for reentry to society. Our goal is to provide a secure, legal avenue for an incarcerated person to send their certificates of completion through email and simplify the process for facility personnel, and provide a secure option for individuals to manage their certificates while incarcerated.
Please Note: This is a secure way to send certificates, there is no way for the incarcerated individual to communicate through this tool. This is a one-way email, the recipient cannot communicate or send an email back to the sender.
Learner Send Certificate
To send certificates, the incarcerated learner can go to their profile at the top right of the page and click on Transcript.
This opens their transcript page. Once on the transcript page, there will be a section called Email Certificates. The learner can then type in an email address to send their certificates.
A pop-up box appears forcing the learner to agree to terms and conditions of use and verify the recipients’ consent to the email communication.
Upon acceptance of the terms and conditions, an email is sent to the recipient with PDF zip files of the completion certificates from the incarcerated learner. Please see below to reference how the email will appear to the recipient. The next two sections include legal language approved by CypherWorx attorneys, the recipient process, and opt-out options.
The recipient receives an email from admin@collabornation.net with the ability to download the certificates in PDF format. Again, this is one-way communication, the incarcerated person has no ability to modify or communicate within this message). The certificates will be sent in a zip file for the recipient to download.
The link will be valid for one week. After one week, the link will no longer be available and the learner must resend their certificates.
Recipient Opt-Out
Within the body of the email, there are two options for the recipient of the email to Opt-Out. Please see below to view the exact opt-out language within the email:
“If you are not the intended recipient, believe you have received this message in error, do not want to receive communication from this person, or want to block further receipt of Certificates of Completion from this individual, please click here.”
“Again, if you are not the intended recipient, believe you have received this message in error, do not want to receive communication from this person, or want to block further receipt of Certificates of Completion from this individual, please click here.”
If the recipient clicks either of these links, it will take them to a new page showing the below message (PLEASE NOTE: The sender will not receive communication that the recipient has opted-out):

Upon release, students also have access to the ViaPath Education, Reentry, & Reintegration site where you can sign up and access training for 1-year post-release. They will have access to download and print their certificates of completion without any assistance.
Administrators
In correctional facilities, administrators must be the ones to provide certificates of completion to the incarcerated students. A variety of administrative tools are available to easily download and print certificates.
Friends or Family Members
If you are a friend or family member requesting training records of an incarcerated individual, we are unable to provide those records. Correctional Department Records are defined as Confidential, and will only be provided to the individual who completed the training record.
A Confidential Record is a document that is not accessible to or obtainable by the general public – and is exempted from the Public Record Law. As such, there is no right of Public Access to Correctional Department Records – this includes Transcripts and Certificates generated by incarcerated inmates.
Accordingly, any and all requests for release of Confidential Records by a Corrections Facility, or its affiliates (CypherWorx) is illegal and must be avoided.
However, we do allow the incarcerated learner to email their certificates, as outlined in the first section of this article. We have also often left it up to the county or the DOC to determine if they are willing to provide hard copies of certificates or transcripts. Please reach out to your county or DOC to determine if they are willing to provide those copies.
